Payment evidence: what to keep for a support request

Your bank and the cashier can show different stages of the same transaction. A clear timeline helps investigate a delay; another payment does not.

Keep a focused record
Record the date, time zone, amount, currency and transaction reference. Include the status shown by the bank and the cashier. Store the original receipt separately. Prepare a redacted copy for correspondence without unrelated purchases or unnecessary personal information.
Keep card secrets private
A receipt should not expose your security code, banking password or verification code. Do not send a full card number in an ordinary chat. Verify the official submission channel and the purpose of any document request. Limit disclosure to what the specific investigation requires.
Use one coherent case
Describe events in order and request a case reference. Ask whether the payment is pending, rejected or being returned. Add later status changes to the same case. Do not transfer money to a private card in exchange for supposedly unlocking the transaction.
Keep useful evidence without oversharing
Investigating a transaction requires its identifying details, not access to all your banking. Keep the original receipt separately and prepare a correspondence copy with the date, amount, currency and reference. Remove unrelated purchases and unnecessary personal information where the verification procedure permits. Never include a password, security code or one-time authentication code. Ask why an additional document is needed before submitting it. A screenshot may lack the necessary identifier, so clarify which record enables tracking. Extra disclosure does not automatically speed up review. Keep the submission time and channel to establish which evidence the reviewer already received.
Payment method, currency and processing stages
Before paying, inspect the method, currency, minimum and maximum limits and possible fees. The bank and cashier may describe different parts of the transaction. Bank confirmation is not necessarily completion of a service’s internal review. Where conversion occurs, compare amounts in one currency and note the displayed rate. Retain the reference and timestamp for a delay. Sending another transfer before establishing the status can create a second independent transaction. An unrelated request to pay an unlocking fee to a private card is not routine clarification. Verify it through a known channel without sharing authentication codes.
History and reference numbers
When a result is unclear, start with the ledger rather than a theory about its cause. Keep the round or request reference, exact time, currency and visible status. Arrange multiple entries in order: a debit, completion and credit may appear separately. A screenshot supplements this timeline but does not replace an identifier. Avoid posting account details or full payment credentials publicly. Submit evidence through verified support and request a case number. Add later details to the same case. This gives the reviewer a sequence rather than disconnected messages and lets you compare each response with earlier explanations.
